AI receptionist, appliance repair

The model number is the whole call, and most agents never ask for it

An appliance repair visit is decided before anyone drives anywhere: by the make, the model, the age, and whether the part is still made. An AI receptionist that books an appointment without those four things has booked a survey and charged you for a service call.

Where they differ

The call that separates an appliance agent from a voice

Every AI receptionist on this results page books appointments and speaks well. This is the appliance repair call where that stops being enough.

The caller says

“My fridge freezer has stopped working, can someone come out?”

What a generic AI receptionist does

A generic AI receptionist books the visit and sends a confirmation. It does not ask the make, the model, the age or whether it is integrated. Your technician arrives to a fourteen year old American style unit with a sealed system fault and no part available anywhere, having driven forty minutes, and the customer is annoyed that they paid a call out fee to be told it is scrap.

What this one does

The make, model and rough age are asked before a slot is offered, and where the age or the symptom puts the repair beyond economic sense the agent says so on the call. You configure that threshold. Losing a call out fee is cheaper than losing the afternoon and the review.

What actually happens

AI receptionist for appliance repair companies: what is actually configurable

Each of these is something the product does on a real call. Where it refuses to act, the refusal is the design rather than a limitation.

It gets the plate before it gets the postcode

Make, model number, approximate age, whether the unit is integrated or freestanding, and the exact symptom. Integrated appliances change the labour; the model number decides whether the part exists. Both are one question each and neither is asked by a generic agent.

It knows what you will not travel for

Brands you do not touch, appliances you do not carry parts for, distances that do not pay. It says so on the call and does not book, instead of your technician finding out at the door.

It states the call out fee and whether it comes off the job

That is the number people actually ring to find out, and it is a setting rather than something the model recalls. What it will not do is estimate a compressor or a control board from a description, and it explains why.

It handles warranty callers without booking them

Manufacturer warranty work that you do not do is a very common call and a complete waste of a slot. The agent establishes the purchase date and the retailer, tells the caller who to ring instead, and does not fill your diary with it.

The questions

What it asks on a appliance repair call

Not a name and a preferred time. Each of these has an operational reason behind it, and every one of them is yours to change.

What make is it?

Decides whether it is a brand you work on at all, before anyone spends a morning on it.

Is there a model number on the door or the back?

The single most valuable thing on the call. With it the part is on the van; without it, most of these are two visits.

Roughly how old is it?

Age is what drives repair-or-replace, and it is the conversation your engineer has to have on the doorstep if nobody asked on the phone.

What exactly is it doing — and when did it start?

Separates a pump from a board from a door lock, which is three different parts and three different visit lengths.

Is it integrated or freestanding?

An integrated machine is a longer slot and sometimes two people. It is invisible unless someone asks.

Is it under warranty or a service plan?

A warranty call is somebody else's job, and finding that out on the phone is better than finding it out in the kitchen.

Safety

What it will never do on a appliance repair call

You are handing your phone to software that talks to your customers when you cannot. These are the lines it does not cross, and the exact words it uses instead.

Gas appliances stop the call

A gas range or a gas dryer with a smell of gas is not an appliance call. The agent tells the caller to call the gas emergency line and stops — it does not book, price, or work out whether it might be something else.

What it actually says

“If you can smell gas near the range, please call the gas emergency line right away and don't use it again until they've been.”

Burning smells and scorching are escalated

A machine that has been smoking, has scorch marks or smells of burning plastic is unplugged and left alone, and the call reaches you rather than joining the calendar. It is also flagged, because that one is a fire report waiting to happen.

What it actually says

“Unplug it at the wall and don't run it again. I'm passing this straight to the engineer rather than booking it for next week.”

It won't say whether it's worth repairing

Repair-or-replace depends on the model, the fault and the age together, and it is the judgement your engineer is paid for. The agent gathers all three and books the visit; it does not tell a customer to buy a new one, and it does not promise that this one can be saved.

What it actually says

“At six years old it could go either way — I'd rather the engineer told you honestly than have me guess and get it wrong.”

The honest answers

What appliance repair companies say before they say yes

In the words they are usually put in. Where the objection is right, it says so.

“Customers never know their model number.”

Many do not, which is why it tells them where the plate is on that type of appliance and offers to hold while they look. That is a thirty second detour on the call and it is the difference between one visit and two.

“An AI will book jobs I can't do.”

It books what you told it you do. Brands, appliance types, service radius and the age at which you stop bothering are all settings, and where a call fails any of them it is declined politely on the phone rather than added to the day.

“I'd rather talk to them myself.”

Then take the ones that reach you. The agent tries you first before it does anything else, and what it absorbs is the call that arrives while you are behind a washing machine with your hands full, which is currently going to voicemail.

App store

It books into the calendar you already keep

Google, Outlook, Apple, Exchange, CalDAV. An AI receptionist that emails you a summary has built a nicer voicemail; this one creates the appointment and texts the caller.

FAQ

AI receptionist, appliance repair, answered

What does it ask that a generic AI receptionist does not?

Make, model number, approximate age, integrated or freestanding, symptom, and whether it is under manufacturer warranty. Those six answers decide whether the visit is worth making, and none of them are in a general purpose booking flow.

Will it turn work away?

Yes, where you have told it to. A brand you do not service, an appliance beyond economic repair, a property outside your radius. Declining on the phone is cheaper than declining on the doorstep.

Does it quote repairs?

It states your call out fee and whether it comes off the job. It will not price a control board or a compressor from a description, and it says why.

Can it handle warranty enquiries?

It establishes the purchase date and where the appliance came from and directs the caller to the manufacturer where that is the right answer, without occupying one of your slots.

What does it cost?

From $99 a month, flat, with unlimited call flows and a monthly talk time allowance. Robocalls are never billed, and the free tier lets you test the agent in the browser first.

Comparing against a human answering service instead?

That is a different question with a different answer, and it has its own page: the appliance repair answering service, with a full appliance repair call played second by second.
