What every AI receptionist does
It picks up, greets the caller as your business, understands speech in real time, responds in a synthetic voice, and produces a recording, a transcript and a summary afterwards. Most also classify the call as a new job, an existing customer or spam, and notify you.
None of that is a differentiator any more. The underlying speech and language models are available to every vendor in the category, which is why there are dozens of them and why they all demo well.
What separates the two halves
The first half answers and hands you a summary. That is genuinely useful, being a voicemail you can read in ten seconds instead of listening to, and it is where most vendors sit.
The second half acts. It knows your working hours, your services, your prices and your service area; it reads the capacity left in your calendar and creates the appointment; it states your call-out fee; it escalates the things that cannot wait to a real person, and it refuses the things it should not answer. That is a receptionist. The first half is a transcription service with a voice.
The refusals are the product
A receptionist you employ knows not to guess. They do not diagnose a boiler over the phone, invent a price for a job nobody has seen, give legal advice, or confirm to a stranger that somebody is a client.
A good AI receptionist has the same floor, and has a specific sentence for each case rather than a vague deflection. This is the single most useful thing to test in a demo, and the thing demos are carefully arranged to avoid: ask it something it should refuse, and listen to how it refuses.
What it is not
It is not an IVR. A phone menu routes by keypress and cannot answer a question. It is not a chatbot with a phone number, which is what a vendor is selling you if its prices are things the model remembers rather than settings you control.
And it is not a voice API. Vapi, Retell, Bland and Synthflow are development platforms for building voice agents. Excellent at what they do, and a completely different purchase requiring an engineer. If you are comparing them against an AI receptionist, you are comparing a workshop against a finished vehicle.

Is an AI receptionist better than a human one?
Not at warmth, and not on a genuinely unusual call. It is better at consistency, at three in the morning, at never being on the other line, and at knowing your prices, because a shared human operator was never given them.
Can an AI receptionist book appointments?
The good ones can, into a real calendar, reading actual remaining capacity. Many cannot and will instead take a booking request and email it to you, which is a message with extra steps. It is the first thing to establish about any vendor.
Will it make things up?
It can, if the vendor built it as a chatbot that is trusted to remember your prices. Ask whether prices, hours and services are configuration the model reads or context the model recalls, and ask what it says when the answer is not configured.
How much does an AI receptionist cost?
